Running head: PHASE 5 INDIVIDUAL PROJECT PHASE 5: Individual Project Affiliation October 2008 How often have you heard it said that planning is waste of time? No sooner is the plan completed than someone comes along to change it. These same naysayers would also argue that the plan, once completed is disregarded and merely put on the shelf so the team can get down to doing some real work. To people management, we mean the planning activity that involves deciding on the types of people in form of resources that are required to fulfill the requirements of the project. In other words the types of skills and number of workers we need to complete the project (kwysocki, 1997). Whenever we talk about the methods involved in the project management we normally refer those methods towards the management of people as well as resources. The management of people is the management of workers. Management of people guides us about the roles and duties that a worker can perform in a project for making a project successful. It also guides management what type of staff should reserve for a specific project. How management will take advantage of skilled workers to making a project successful. (Kerzner, 2003). After we have successfully completed the project, in this paper I will present Quality and its application to project management processes in our Email up Gradation project. As a project manager I have the responsibility to design the Processes for implementation, implementing schedule, and estimating expected costs of the Email System Upgrade of my organization, during this all we have to mange and sustain the Quality and its application to project management processes. In this memo I will present and analyze the impact of qualitative strategic factors on project management decisions and then I will try to recognize, build, and express the philosophy for Quality management organizations. I have presented the overall review of the whole project that we have to do, by this we have a better overview of the things that we have to manage and control by implementing the philosophy of Quality management organizations, so that our work and development should be according to qualitative strategic factors. Overview of overall project In this project we will follow these phases: Initiating phase in which we determine the feasibility, project charter. Then next phase we have Planning in which we have three sub tasks survey, design and analysis. First step in this phase in which: I have to determine the schedule of the project. This project is an up gradation project and it reflects that the overall cost of this project will be lesser than the new implementation of such project. For scheduling this project first sub task we have to cover is survey of overall old system, and determining which areas require more attention. After this survey we have to analysis the gathered data from the survey. This analysis sub phase provides all required information for our project seclude and cost estimation. After this analysis sub phase next comes the design sub phase of the project in which we have to design all events and process that are necessary for the completion of this project. In this phase we also determine expected expenditure, estimate time required, and main events of the up gradation project. Then next phase is Executing Phase. At this stage we hire a software development team for the implementation of this new upgraded email system, now our project team completes the work related to all aspects of this up-gradation. Here an important phase is controlling phase that will run in a parallel way with all other phases. In this phase we control the time, cost, manpower required, resources needed and all things that are associated with the project (Kenneth, 1998). We analyze all the way that if project is running on time, is any module require additional time, then managing time in such way that additional time did not require. Here cost and expenditure monitoring is done in such a way that no extra resource need along the way. Then the last and final phase is Closing Phase: here we have to ensure that the project work is complete successfully, we have to confirm and verify that the deliverables and then completed out the project finances, panel reports, and lessons learned are all documented and analyzed that all things are well and new email system is working properly. Cost estimation is one of main and difficult part of any project. All project depends on this estimation, if this estimation goes wrong then lot of complexities can happen during the project (Balachandra, 1997). So in our Email Up-gradation project we have to estimate the cost in such a way that no complicity can happen, and project can be completed successfully. As a project manger it is my responsibility to schedule cost control processes. Cost Control is the process of successfully organizing transformations to the project financial plan, then putting together those modifications across the whole project throughout the incorporated Change Control process (Balachandra, 1997). In this section of the paper I will outline the key concepts of Quality how it impacts project management. I will try to analyze the impact of qualitative strategic factors on project management decisions and how to recognize, build, and express the philosophy for Quality management organizations. In our project of Email up gradation we have Project Quality Assurance team that consists of professionals that helps organizations quickly develop our: (Atkinson, 2006) Quality Assurance for the current and future projects Efficiency & effectiveness in the development of our Email up gradation Profitability by having the correct use of resources Effective Project Management of Email up gradation project Environmental & Energy Management in case of any mishap Stakeholder Satisfaction that involve in our Email up gradation like Suppliers, Customers, Employees, Shareholders, etc.) Now this team will do effort for the working autonomously, or as an additional resource to the customers staff, the Project Quality Assurance will help for our Email up gradation project in the following filed: We will be able to assesses the clients needs of the worker for the network emailing in an efferent way   Designs a modified plan and services to quickly achieve the clients objectives   When necessary, our Project Quality Assurance team can facilitate in implementing the plan like separately, or with the clients workers Throughout all the businesses, individual constant important part survives for corporations to consider over, and that is the work of manufacturing to make sure that each item of note is finished or shaped according to a detailed and unbending customary standard that has been predefined (Kenneth, 1998). This is the operation of quality assurance. In conditions of the victorious organization of projects, quality assurance is quite important. Performing quality assurance is a necessary equivalence of the project management procedure (Balachandra, 1997). Throughout the development of quality assurance, the project organization group and or project administration team manager experiences the development of relating the before planned and complete quality related actions, for the reason of making certain that the present situation fits within those limits, and undertakes hard work to utilize all of the formerly designated developments in order to really convene those strictures regarding our Email up gradation. When our Email up gradation project is completed, it is unconstrained for testing to quality assurance (QC) department beside with the related documents. The quality assurance department depends on the range of testing, accessibility of testers and the time at which the creation is predictable to be released to client, gets ready its test plan (Kenneth, 1998). Following studying the company and client requirements, test cases and experiment situations are constructed by testers; depend on which problems or imperfections are reported. Once the problems accounted are freed to development group by the testing group, it is the growth team that approaches into the acts. They based on the type, strength of a problems split between themselves the bugs to be Permanente and notify the testing team the predictable time necessary to close or address all the problems / imperfections (Atkinson, 2006). Once all the faults are settled, our Email up gradation project goes back to testing team, for confirmation of conclusion of bugs. Now I will present and analyze the impact of qualitative strategic factors on project management. I will discuss the Decision Analysis Models and Evaluation Methods that are used by us in our organization here my next aim is to discuss their effectiveness and efficiency in the project management decisions. It is believed by our organizational decision makers and other top executives that Combination of Monte Carlo simulation and decision tree analysis offers extra insights into choices of potential results. These methods are really important from the project quality assurance point of view, by implementing these we will able to fulfill the internationally specified project quality assurance metrics. Decision analysis is the regulation of assessing complex options in conditions of significances and hesitation (Kenneth, 1998). Values are usually articulated financially for the basis that this is a main concern for management. In addition, decision analysis offers approaching into how the discrete options are different from one another and then produces proposals for novel and better options. Numbers enumerate biased significances and doubts, which allows us to appreciate the decision circumstances. These mathematical consequences then have to be interpreted back into terms in order to produce qualitative impending (Balachandra, 1997). There are two well accepted techniques that are utilized for decision analysis and evaluation in many organizations. These are called Decision Trees and Monte Carlo. The Decision Trees offers a structured arrangement for classifying possible decisions and promising results. It is a illustration network of conclusions, possible result, and chance (Kenneth, 1998). These techniques are used by us in the development of or Email up gradation project to enhance the working style and implement the quality assurance parameters. At the end I have to conclude this discussion by quoting this “quality assurance parameters involvement and their utilization in the project management is really important and effective to have a successful project completion and deployment”.
